Will our guests be able to find the Calcot Hotel easily?
YES! We are sited directly on the A4 just off junction 12 going towards Reading – you cannot miss us.

How many car parking spaces does the venue have?
We have over 160 car parking spaces and cars can be left overnight, at the owner's risk, for collection the next morning.

Does the venue have air conditioning?
YES! Air-cooling systems are installed in all of our function suites.

Do you have disabled facilities?
YES! We have disabled toilet facilities in the hotel, we have two disabled bedrooms and the access to the hotel has a disabled ramp. The Garden is also accessible for disabled people.

Where can guests leave coats and presents?
There is a cloakroom situated in the entrance lobby to the main suite and a present table can be set up for you on request.

What photographic locations are available?
There are photographic opportunities inside and out for you and your guests including a garden at the front of the hotel.

How many guests can we seat for the Civil Ceremony?
We can seat up to 120 guests in The Kennet & Avon suite. The smaller Loddon suite is ideal for up to 60 guests.

Can I walk up the aisle?
YES! In the Kennet & Avon suite we lay out a red carpet and create an aisle (see our picture gallery).

What about music during the ceremony and wedding breakfast?
You are welcome to bring your own pre-recorded music or we can provide you with background music. There is a full music system in both Kennet & Avon suite and the Wyborn suite; you will need to liaise with the registrars as to the type of music to be played.

How many guests can the hotel accommodate for a sit down meal?
We can comfortably seat a maximum of 160 guests on round tables of 10. We can accommodate more on other table configurations.

Can we release balloons and/or sky lanterns outside?
NO! Unfortunately it is not possible as these may be hazardous to wildlife.

Do you allow confetti?
YES! So long as it is biodegradable please.

Can we have access to set up/decorate the suites?
YES! Normally on the morning of the day or if the room is not being used the day before then access can be afforded.

Have you any facilities for babies?
YES! We have baby changing facilities and 8 highchairs (pre-booked).

Do you have a cake stand and cake knife?
YES! We provide this on the day.

Can we invite more guests for the evening?
YES! You are welcome to invite additional guests in the evening up to a total number of 220 guests (including day guests) in the Kennet & Avon suite and 120 in the Wyborn suite for a finger buffet.

Is the hotel a smoke-free environment?
In line with the law, smoking is not allowed anywhere inside the building. However guests can smoke in designated areas outside and receptacles are provided.

When can the band/DJ set up their equipment?
Your band/DJ is welcome to set up their equipment from 10:00am. We recommend you use our DJ’s (included in the price of an evening reception) as we have many years of experience in providing music for all types of functions. We have a fully functional, permanent sound system with nightclub lighting. We have a stage which is set up for bands and acts with professional lighting and PA systems. This can also be used with roaming microphones for speeches and other AV needs you may have including an electrically operated screen and LCD projection. All this is available in the Kennet & Avon suite. The Wyborn suite has a fixed dance floor, permanent DJ set up, night club lighting and roving microphones.

Where is the bar located?
There is a bar in The Kennet & Avon suite just to service this room exclusively. The Wyborn suite is served by the hotel bar which is adjacent to this room. This is not exclusive use as hotel guests will also be using this bar.

Do you allow dry ice machines (smoke machines)?
NO! We do not allow dry ice/smoke machines as they set off our smoke alarms! Please be sure to notify your band/DJ.

Do you allow fireworks?
NO! We do not allow fireworks out of consideration to our neighbours and for road safety reasons.

What if my contractors (e.g. DJ, florist, etc.) are running late on the day, who should they contact?
Please ask them to call the hotel on our main number.


What drinks are included in the packages?
Please refer to our brochure on this issue as it depends on which package you are purchasing. We can tailor your requirements to fit your budget. Our standard packages are very adaptable we can basically provide whatever you require.

Can we supply our own wine?
NO! We regret that we are unable to serve any of your own drinks.

Do you change your menus?
YES! We regularly change our menus to reflect the modern food trends and seasonally available produce.

Is it possible to choose a couple of dishes?
We recommend that you choose one starter, one main and one dessert.

Can we design our own menu?
YES! We will work with you to provide the perfect menu on your wedding day.

If we choose the Standard package, can we have canapés?
YES! You can add canapés as an upgrade.

How many canapés do you suggest?
We recommend 4 canapés per person.

I have a copy of an old menu brochure but would like a dish from the new menu brochure. Is this possible?
YES! You can choose dishes from any of our brochures.

Can you cater for our guests who are vegetarian or have food allergies?
YES! We have vegetarian options and we can also provide a different menu to accommodate your guests who have food allergies.

Do you have food options available for children?
YES! We have included a delicious and healthy selection of children’s food. We suggest that if a child is under two years old you arrange for the parents to bring something suitable for them. If they are aged between two and ten, we charge £10.50 for a three course meal. Guests aged eleven or over are charged at the full adult package price.
